Refund / Cancellation Policy

At K2 Expedition & Trekking, our goal is to give you a memorable, safe, and well-organized trekking or expedition experience. At the same time, we understand that sometimes plans change due to personal or unexpected reasons. To keep everything clear and fair for both our clients and our team, we have outlined our refund and cancellation policy below.

1. Cancellation by the Client

If you need to cancel your trip, the refund amount will depend on how much time remains before the trip start date:

60 Days or More Before the Trip Start Date

    • You will receive 90% of the total trip cost as a refund
    • 10% will be kept as a non-refundable administrative fee to cover planning and processing costs

30 to 59 Days Before the Trip Start Date

You will receive 50% of the total trip cost as a refund

The remaining 50% is retained to cover pre-booked services such as hotels, transport, permits, and staff arrangements

15 to 29 Days Before the Trip Start Date

You will receive 25% of the total trip cost as a refund

75% is retained due to fixed and non-recoverable expenses already paid

14 Days or Less Before the Trip Start Date

    • No refund will be provided
    • 100% of the trip cost will be retained as a cancellation fee, as all arrangements are fully finalized at this stage

2. Cancellation by K2 Expedition & Trekking

If we have to cancel a trip due to unavoidable circumstances such as political instability, natural disasters, extreme weather, or any other situation beyond our control, you will be offered the following options:

A full refund of the amount you have paid,

OR Transfer your payment to another trip of your choice

The transferred amount can be used for any future trip within one year

3. No Show or Early Departure

If a client does not arrive for the trip (no-show), no refund will be issued

If a client leaves the expedition early for personal, medical, or any other reason, no refund will be provided

Any extra costs caused by early departure (transport, accommodation, porter fees, etc.) will be the responsibility of the client

4. Changes or Amendments to Bookings

Any request to change travel dates or modify the itinerary must be made at least 30 days before the trip start date

All changes depend on availability

Additional charges may apply based on revised logistics, accommodation, permits, or transportation

5. Refund Process

To request a refund:

All refund requests must be sent in writing via email

Refunds are processed within 15 working days

Refunds will be issued using the original payment method used at the time of booking

6. Non-Refundable Deposits

Deposits paid to secure your spot are non-refundable

However, if cancellation is made 60 days before the trip, the deposit may be transferred to a future trip

7. Travel Insurance (Strongly Recommended)

We highly recommend that all clients purchase comprehensive travel insurance. This should cover:

Trip cancellations

Medical emergencies

Emergency evacuation

Unexpected travel disruptions

Travel insurance provides peace of mind and financial protection during your adventure.

8. Special or Custom Trips

Group bookings and customized expeditions may have different cancellation and refund terms

Please review your specific booking agreement or contract for detailed conditions
